Patna: The Bihar Urban Infrastructure Development Corporation Limited (BUIDCO) has introduced a fully digital e-Office system, bringing its file and project-related work online from October 3.

Under the new system, the movement and processing of physical files will be discontinued. Every application or letter received by BUIDCO will be assigned a unique ID, allowing its current status to be checked online.

The new arrangement is aimed at improving transparency, accountability and efficiency, while also reducing the use of paper in official work.

More Than 2,500 Files Already Uploaded

BUIDCO has already uploaded more than 2,500 files to the digital system, while the process of uploading around 10,000 additional files is underway.

Employees are being trained to work with the e-Office system and process files digitally.

The digital signatures of officials have already been prepared, allowing approvals and other necessary procedures to be completed electronically.

Applications Can Be Tracked Online

People submit applications and letters to BUIDCO concerning parks, road construction and other development projects.

Once the e-Office system is fully operational, applicants and contractors will be able to check the status of their files online.

This will reduce the need for people to repeatedly visit BUIDCO offices simply to find out whether an application or file has moved forward.

Pending Files To Be Listed Within 24 Hours

As part of the transition, all BUIDCO branches have been instructed to prepare details of their currently pending files within 24 hours and send them for scanning.

After scanning, officers and employees will receive practical training on the digital processing and disposal of files.

The electronic system will allow files to move between officials digitally, with approvals and other processes completed without physical paperwork.

AI Dashboard To Monitor Projects In Real Time

BUIDCO is also using modern technology and artificial intelligence (AI) to monitor development projects being implemented across Bihar.

These include projects related to water supply, sewerage and storm-water drainage.

An AI-based dashboard is being developed to bring together MIS data, engineering reports, file tracking and contractor databases.

The dashboard is expected to give senior officials real-time information about the progress of individual projects, helping them monitor implementation and take decisions more quickly.

New Modern BUIDCO Office Proposed

BUIDCO is also preparing to construct a new modern office building at the site of its existing office near Rajapur Bridge.

The proposed building will be constructed by the National Buildings Construction Corporation (NBCC).

According to the proposal, BUIDCO would not have to spend funds directly on the construction. Instead, NBCC would be allowed to use some floors of the new building for commercial purposes.

The proposal has been sent for approval. Construction will begin after final Cabinet approval.

The shift to e-Office, combined with digital file tracking and AI-based project monitoring, is expected to make BUIDCO’s administrative and project-management processes more technology-driven and accessible.
