Patna: Patna University is preparing for a major shift in the way it handles its daily work, as it plans to make all administrative operations completely paperless. The move is part of a broader effort to modernise the university’s systems before it shifts to its new administrative building. While preparations for digitisation have already begun, the building has not yet been officially handed over due to some pending work, mainly related to furniture installation. Officials expect that the building will be ready and handed over by the last week of June.
The new administrative building is being equipped with modern digital facilities to support this transition. Computer workstations will be installed on every floor, and a secure intranet system will connect all departments within the building. This means that files will no longer need to be physically carried from one office to another. Instead, documents will be sent electronically, making the process much faster and more efficient. The decision follows similar steps taken by the state’s education department, which has already adopted a paperless system successfully.
At present, the university still relies on manual file movement, where staff members physically carry documents between departments. This often leads to delays, with files getting stuck or pending for days. With the new digital system, officials believe that such delays will be reduced significantly. Files created in the morning can be sent instantly to the concerned department, processed the same day, and then forwarded to senior officers like the Vice-Chancellor or Registrar without delay.
The design of the new building also supports this change. The Vice-Chancellor’s office will be on the eighth floor along with a conference hall, while the Pro-Vice-Chancellor will sit on the seventh floor and the Registrar on the fifth. In such a setup, digital file transfer will save both time and effort. The university is aiming to shift to the new building by July, along with the full implementation of its paperless system, ensuring that no administrative work remains pending and all tasks are completed quickly.
